This page is the starting point for new employees. It explains the basic systems you will use, how to access them, and what is expected when using company tools and client information.
Your login information, invite links, phone extension, and platform access details will usually be provided in your company welcome email.
New employees will commonly need access to the following company systems:

Your company email address will usually follow this format:
firstname + last initial @ granet.tech

Your initial login password will be provided during onboarding.
Please store your password somewhere safe. Password resets require administrator assistance and may take time to complete.
For security purposes, company email passwords automatically rotate every 6 months.
When your password is due to rotate, you will receive a notification by:

GraNet IT Solutions uses Discord for internal team communication.

Employees must access Discord either by:
You must receive an invite to the official GraNet IT Solutions Discord server.
The invite will be provided by a supervisor, administrator, or authorized team member.
After joining the server, you must read the company Discord rules.
At the bottom of the rules section, react with a check mark to acknowledge that you have read and agree to follow the rules.
You may not receive full access to the server until the rules are acknowledged.
GraNet IT Solutions uses Nextcloud as the company cloud storage platform.
This is where employees may access shared company files, documents, client materials, internal resources, and other approved work-related files.

Employees should use the wiki to find common procedures before asking repeated process questions.
If you discover a better process, notice outdated information, or think something should be added, notify your supervisor or an administrator.

GraNet IT Solutions uses Notion as an internal CRM and company work platform.
Notion may be used for:
Employees should use Notion to keep client and task information organized.
Do not delete, move, or modify company records unless you are authorized to do so.
If you are unsure where something belongs, ask your supervisor or administrator before making changes.
GraNet IT Solutions uses a VoIP phone system for company calling.
To use the phone system, you will need to download a SIP phone app, also called a softphone.
This may be installed on:
Your assigned extension will be provided in your company welcome email.
Employees are responsible for protecting company accounts and login information.
Employees may come into contact with client systems, passwords, documents, files, emails, business records, or private information.
This information must be treated as confidential.
Client information should only be accessed, used, or discussed when needed for company work.
Use the correct company system for the right type of communication.

Important client notes should not be left only in Discord. They should be documented in the correct system, usually Notion, the company cloud, or the company wiki.
Employees may access company systems from phones, tablets, desktops, or laptops.
Company files must be handled carefully.
This includes files stored in Nextcloud, Notion, email, client folders, internal documentation, and any other company-approved platform.
If you need help, contact the correct person or channel.
